Telegram direct message outreach: a step-by-step guide

Telegram outreach to private messages works when every recipient sees a message written for them rather than a shared template. Here is how to do it step by step: who to write to, what to say, at what pace and what to do with the replies.

Why one text for everyone doesn’t work

The most common mistake is to take one template and send it to thousands of people at once. Outreach like that quickly gets accounts restricted and brings almost no replies: people see right away that the text wasn’t written for them.

The opposite extreme is writing to everyone by hand. That is personal, but one manager can’t handle an audience of thousands. The workable option sits in between: a personal text for each person and a calm sending pace.

Step 1. Choose who to write to

The response depends more on the audience than on the text. There are usually three sources: your customer database, members of topical groups in your niche and past customers who haven’t bought in a while.

Your own database and past customers are the easiest: they know you, and the reason to write is clear. Members of topical groups can be exported, including people who never post in the chat. But for them this is cold outreach, so the narrower the audience the better: a thousand people from relevant chats are worth more than ten thousand random ones.

Clean the list before you start: remove duplicates and anyone who has asked you not to write. Split the audience by the reason for writing: people who have bought from you and people you found in groups need different first messages.

Step 2. Write a message people want to answer

A good first message is short. It has a reason (where you found the person or what they bought from you), one specific benefit and a simple question at the end. It is better not to send links or long presentations in the first message.

An example: “Hi Anna! We saw your question about an accountant in a chat for Warsaw business owners. We keep the books for small companies in Polish and English. Shall we tell you how it would work in your case?” There is no pressure and no big promises: the person understands where you came from and why you are writing, and can reply in one line. Test your text on yourself: would you answer a message like this from a stranger? If not, shorten it and make the reason more specific.

The text should adapt to the person and the group where you found them. In Logger the AI Outreach Agent does this: you set the meaning of the message, and it writes a unique text for each recipient while keeping your tone. Every message is personal, one to one.

Step 3. Keep a safe pace

Messages should go out gradually, with pauses and daily limits, the way a real person would send them. In Logger the default safe pace is 4 messages a day per account.

Don’t try to make up volume by sending faster. It is better to spread the outreach over several weeks, watch the replies and adjust the text and the audience as you go.

It is important to understand the risks. Direct messages to people who don’t know you are cold outreach. The risk of accounts being banned on Telegram can’t be ruled out completely. You decide who to write to and with what offer, and complying with Telegram’s rules and your country’s advertising and data laws is your responsibility too.

Step 4. Reply right away and keep track of those who stayed silent

The goal of outreach isn’t sent messages but conversations with customers. If a reply only gets an answer a day later, the interest has time to cool. In Logger the AI Sales Rep can pick up everyone who replies straight away: it carries on the conversation, clarifies the task and passes people who are ready to talk on to a manager.

People who read the message and didn’t reply can get a gentle reminder. Statistics show how many messages were delivered and read and how many people replied: they tell you which text and which audience work best.

Agree in advance who on your team takes over warm leads and how quickly they reply. Otherwise conversations the agent started get lost on the way to a manager.

Where to start

Start with a small warm audience: your own database or past customers. Write two or three versions of the first message and see which one gets more replies. Once you know what works, expand the audience with members of topical groups.
